Stage 1:

Evaluation, Recommendation, and Make-Ready

Before Listing we make sure the curb appeal & interior impression is competitive, memorable, and welcoming – you’ll want potential tenants to see themselves there! It’s not required that you heed our recommendations, but you’ll at least have some feedback to think about. You’ll also have the option to use your resources or ours. This process should take no more than 5-10 days.

Market Analysis

Upon completion of any updates or upgrades, 512-Society will perform a comprehensive Comparative Market Analysis (CMA) to determine the most accurate and competitive rental rate for your property based on the area, square footage, amenities, age, etc. Once we agree upon price and set a goal occupancy date, we will begin Stage 2 of marketing your property.

Stage 2:

Professional Photos

A Certified MLS/ Austin Board of REALTORS photographer is appointed to your property to take 15 of the best photos that showcase your property inside & out. These photos are fully edited and are included in Leasing Services.

Sign & Lockbox

An Advertising “For Lease” sign is staked in the front of the property, and a combo box/ iBox is placed on the front door handle. (Only licensed REALTORS and our Maintenance or Preferred Vendors are given the code. Each of these individuals are insured and bonded.)

Go “Live”

512-Society will list the property through the Multiple Listing Service (MLS) in addition to 50 other property listings websites, as well as share on multiple social media accounts to obtain the most visibility in the market as possible. 512-Society retains a log of all access requests from REALTORS, as well as their clients’ feedback, so we can easily keep you up-to-date on Fridays and Mondays.

Screening

We will screen ALL applicants through a rigorous process that includes credit, criminal, rental history, and employment history. Once approved, we provide the prospective tenant 24 hours to pay the security deposit to “hold” the property while we write up an official lease contract (total time of 48 hours will pass) on your behalf.

Stage 3:

Lease

Once we receive deposits, our legal team drafts the lease contract between you and your new resident(s), listing any pets, dependents, all lease signers, and includes any Addendums outlining additional rules & policies your behalf. Once the residents have signed the lease (per our listing contract), we will execute the Lease with our signatures making the lease binding to all parties (you and the resident). The lease will be uploaded to your portal access as a PDF file for use now or in the future.

Accounting

We will process and take in all MOVE IN funds from the resident for the first month. We collect the security deposits/fees plus the first month’s rent/fees. We will then process all of that to you with a full ledger of the account for your keeping. We will also retain this information in our system for up to 7 years in the Activate Tenant portal for accounting and legal. We will provide the residents with your name and contact information, as well as direct them to contact you for all matters related to the property, including payment of rent, maintenance requests, legal inquiries, questions, etc.

Move-In Day

We will coordinate a move in day and time with the residents based upon the lease agreement. No possession will be given before the lease start date – no exceptions are ever made. Residents will be given access to the photo inspection ink the day of move-in, as well as verify renter’s insurance and utility account numbers. We will provide the new tenants with keys and any remotes.

Renewal

With our full-service, turnkey property management solution, you will never pay a renewal fee to renew an existing resident. You will still receive a new market analysis to ensure you continue to receive the market rate in rent, as well as whether an increase in deposits, rents, or fees is necessary; we can also perform a property evaluation at the close of the lease if so desired. If the tenant chooses not to renew, we will consult with you and restart the process to promptly place your home back in the marketplace within 5 to 10 days.

Stage 4:

Maintenance

512-Society will assign, follow up with, and pay all vendors hired to perform any services on your property.

ALL vendors are vetted and certified through 512-Society to ensure legal compliance, as well as current insurance & bond compliance. We offer 24/7 maintenance hotline to all of our residents, and manage all of repairs, coordination, and payment – you never have to worry about the headache of maintenance. Your monthly statement, as well as alerts, come to you via your online portal and/or email for convenience and transparency.

Accounting/ Rent Collection

As the owner, you and your CPA or bookkeeper will have access to your online portal account to track monthly statements, Schedule-E tax forms, 1099-Misc tax forms, and cash flow details. We collect rents via ACH monthly, any fines or fees, and manage all monthly expenses related to your property. You have full visibility and transparency through your online property management portal on our advanced digital platform 24 hours a day, 7 days a week.

Legal Compliance and Legal Services

If a resident fails to pay rent or falls behind on rent for 4 days, we will manage and cover any expenses on your behalf under the Eviction Protection Guarantee and up to the Writ of Possession at $1150 value. However, any damages or removal will be expensed to the owner’s ledger, minus the security deposit.

Stage 5:

Renewal

Our firm frequently communicates with residents nearing renewal. We will run a comparative market analysis and renew the resident if they still qualify at the market rate. If the resident chooses to renew, 512-Socieity will draw up a new lease on your behalf for 12 months. You will see the new lease in your documents in your online portal for years to come.

Stage 6:

Turnover/ Leasing

We will manage the entire move-out process on your behalf with the resident. 512-Society ensures your full move-out instructions are upheld and followed. We will process and execute the tenants’ security deposit(s) within the 30-day legal time frame per the Texas property code. Once possession is returned to our firm by the vacating resident, we will begin a full Property Evaluation with photos and a written report, as well as have the home re-keyed to stay in compliance with the Texas property code.

The process will repeat beginning with Stage 1.
